Settings for budgets

The following options are available for specifying budgets.

Tip: If you want to apply the same budget values to several objects, for example, to several users, create a budget template first. You can then select this template in the Budget template selection list and the template start values are entered automatically.

Activate the appropriate check box for the type of budget that you want to define.

Currency

Select a currency for the budget.

Budget template

Select the budget template that you want to use. To reset a budget to the Start value at the end of the corresponding period, you must apply a budget template to the budget.

If an appropriate budget template does not exist, enter the budget start values and activate the Automatically create template check box.

Note: This option is not available for total budgets.

Automatically create template

This option is only available if you do not select a template in the Budget template selection list. Activate this option to automatically create a new budget template based on the entered budget values. The name of the object for which the new template was created is assigned to the template by default; this name can be changed in the Budget templates list.

Budget templates cannot be created for total budgets.

Use budget warning

Activate this option if a warning message should be automatically sent to the company administrator when a specific amount of the budget remains.

Remaining budget: Warning at

This option is displayed if you activate the option Use budget warning. Enter the percentage of the starting value of the budget that the current value must reach for the warning message to be sent to the responsible user. Alternatively, you can specify a fixed amount.

Example: Your monthly budget is 1,000 EUR. If you want to receive a warning when only EUR 100 remains, select the option % and enter 10 in the input field. Alternatively, select the option EUR and enter 100 in the input field.

Note: The warning is valid for all budgets. A warning is sent if any of the budgets reaches the specified warning value.

Start value

Enter the budget value that should not be exceeded in the specified period. The budget is reset to this amount at the end of the period, provided that a budget template has been applied and the Create budgets scheduled task has been defined with the appropriate settings.

You cannot change the start value if you have selected a budget template.

Actual value

Enter the current remaining value of the budget that has not yet been used. This amount is automatically recalculated when baskets to which the budget applies are submitted.
