Assigning a deputy and acting as a deputy

You can select a user in the system to act as your deputy while you are absent. When you have activated the deputy function, the selected user can log on as your deputy via his lobby and carry out all your duties in the system for the duration of the period you specify. Your deputy does not have to have the same rights as you in order to act as your deputy.

Note: A <IO_company_KL> administrator can also select and activate deputies for other users.

Assigning a deputy

  1. Select the menu item Profile.
  2. Click the link Profile.

    The User profile page is displayed.

  3. Click the Delegate tab.
  4. Enter a Start date and an End date to specify the period during which the deputy should assume your duties.
  5. From the Deputy selection list, select the user who should act as your deputy.
  6. From the Reason selection list, select the reason you are delegating your duties to the deputy, for example, holiday.
  7. Activate the check box Deputy activated (absence) to activate the deputy function immediately. You can deactivate the function at any time by deactivating this check box.
  8. Click Save.

As soon as the deputy function has been activated, the selected deputy receives a corresponding message in his lobby.

Acting as deputy

When other users select you as a deputy and activate the deputy function, you receive a corresponding message in your lobby. An additional section Deputy activated for is displayed in the lobby. This section lists all users for whom you are currently activated as a deputy.

To act as a deputy for a user, click the icon next to the name of the user. You are logged in as the user for whom you are acting as a deputy. The name of this user is displayed at the top of the window.

When you log out as deputy by selecting the menu item Log off, you return to your own lobby and your name is displayed at the top of the window.
