Approval activation (scheduled task)

This task activates the requests for approval. The status of the order request (item) changes from Not yet active to Awaiting approval, sends e-mails and system messages relating to approval ('New items are awaiting approval', 'Your order has been rejected' etc.) and, in a multi-stage approval process, switches to the next stage as soon as the approval process at the preceding stage has been completed.

Parameters

Parameter

Description

Check old approval elements

Checks whether the marking of the individual approval elements is complete. This check is not essential, but can sometimes be useful if approval elements have been created that cannot be processed due to errors.

Check activation and status

Default: Activated

This is the main task, which checks the individual stages for completeness, activates new stages and sends any necessary mails.

Interval for log entries

Default: 500

This figure specifies the intervals (in number of approval elements) at which the system is to send a life cycle message for the tasks. On slow systems, this can be used to prevent a 'Time out' if:

a) There are a lot of approval elements to check, or

b) Processing is too slow due to system load

Recommended execution interval

Every 5 to 60 minutes during business hours, depending on the expected system response time.

Known errors/problems and causes

If the task is not activated, no approvals can be carried out. As rules can still exist, affected items for approval retain the status "Not yet active" and order requests cannot be processed further in this case.
