CBL e-mail order exporter (scheduled task)

Dispatches orders by e-mail in CBL Purchase Order format (XML document, CBL version 2.0r1 or 2.0r3).

The Type can be individual or generic:

Subject of CBL e-mail – Placeholders:

^0 =  for the order number
^1 =  internal number from basic contract (BuyerLegacyNo)
^2=   external number from basic contract (SupplierLegacyNo)

You can optionally specify a destination e-mail address, which is used instead of the e-mail address stored as the supplier's contact address. This makes it possible to send CBL orders for free form orders and standard orders to separate mailboxes.

Send copy to

Optional e-mail address for order duplicates. Multiple dispatch addresses can now be specified, separated by a semicolon or a space

Supplier

Select supplying company. "—" can also be set for all companies

Version

Choose between "CBL 2.0r3" and "CBL eCOS1" (corresponds to CBL 2.0r1 with certain compatible add- ons, that are specific to eCOS V1).

Request confirmation of receipt.

Requests confirmation of receipt from the supplier's e-mail system. Before setting this option, you must clarify whether the supplier's e-mail system supports it. If not, this option may not be selected.

Save appended file as ZIP file

The XML file for the CBL order data and all file attachments are packed in advance using ZIP.

  Send encrypted (S/Mime)

This should only be selected if the supplier supports it and the corresponding certificate is available on the server. If the password for the certificate is not saved in the configuration file, this option is not available

Also export control structures

Also exports the project, cost centre and type of cost, if specified in the order.

Send normal catalog order

Sends order items that are not 'Free order items' or 'Order items with file attachment'.

Send free form orders

Sends order items created as 'Free order items'.

Send orders with file attachment

Sends order items that have a file attachment. If this option is not selected, these orders are not exported. Caution: If the option is selected, orders with no file attachment are also exported using this exporter. Selecting it does not exclude them.

(The last three options enable the different types of individual order items to be dealt with differently when sending them, if required by the supplier's order acceptance system.)

Partial deliveries allowed

Informs the supplier whether or not partial deliveries are wanted.

Note: If 'Plant' and 'Name' are blank in the delivery address determined from the order and the basic contract grouping, the company name is entered.

Recommended execution interval

Depending on the desired system response time, at 5 to 60 minute intervals during normal business hours.

Dependencies on other scheduled tasks

This task should run after the "Create orders " task as it directly depends on it.

Known errors/problems and causes

The most frequent problems occur if the SMTP server does not exist, the system does not have authorisation to use this server to send e-mails or the configuration has been selected in such a way that no valid e-mail address for sending orders can be found for the supplier. In case of problems, these items should be checked first. An order grouping setting in the basic contract that does not match the dispatch can be a further source of errors (particularly if some data is missing).

If the mail encryption certificate is missing, the e-mail exporter reports the following errors:

Note: Behaviour if supplier mail address missing

If the task is set up for one supplier: System message and signal failure, i.e. the scheduled task stops.

If the task is set up for all suppliers: For each supplier that does not have an e-mail address, a system message is sent to the user set in the task and an entry is made in the log file.
