On this tab you can assign role sets, authorization sets, user groups, catalogs and conditions to the user.

Assigning elements

To assign elements, select them in the Available list (for example, Available user groups) and click the icon .

To remove elements, select them in the Assigned list (for example Assigned user groups) and click the icon .

Note: Elements that are automatically assigned by the system are displayed in grey text and cannot be manually removed from the Assigned list. Elements that you assign yourself are displayed in black text and can be removed.

Role sets

A role set is a collection of authorization sets. Role sets make it easier to assign multiple authorization sets to users. See Role sets for more information.

Which role sets are available for assignment depends on your rights as a company administrator and on the role set settings.

To assign a role set, click the Add role set button and select the role set from the selection list.

To remove a role set, click the icon next to the role set.

Depending on how the role set that you select is configured, you may also have to specify for which company the role set is valid and whether the role set is valid for related companies. See Authorization_sets for more information.

Authorization sets

An authorization set is a collection of individual rights which allow users to perform specific actions in the system, such as creating baskets, approving requests, editing users, etc. See Authorization_sets for more information.

Which authorization sets are available for assignment depends on your rights as a company administrator and on the authorization set settings.

To assign an authorization set, click the Add authorization set button and select the authorization set from the selection list.

To remove an authorization set, click the icon next to the authorization set.

For some authorization sets, you must also specify for which company the authorization set is valid and whether the authorization set is valid for related companies.

In the Company selection list, select one of the following options:

Option

Description

All companies

The authorization set is valid for all companies in the system

Own company

The authorization set is only valid for the company to which the user belongs

Select company

The authorization set is only valid for a specific company. Enter the name of the company in the input field or search for it.

In the Relation selection list, select one of the following options:

Description

Assigned company

The authorization set is valid for the assigned company only

Sub companies of assigned company

The authorization set is valid for the assigned company and its subsidiary companies

Super companies of assigned company

The authorization set is valid for the assigned company and its parent companies.

User groups

In this section, you can assign user groups to the user (see Assigning elements).

User groups make it easier to assign catalogs to several users. All users belonging to a user group can use all catalogs that are assigned to the user group. When new catalogs become available, you can assign them to the user group and the catalog assignments of all users in the user group are automatically updated.

For company administrators who are assigned to a specific company, the Available user groups list contains only the user groups that are assigned to that company or its subsidiaries.

Catalogs

In this section, you can assign catalogs to the user (see Assigning elements).

The Available catalogs list contains all catalogs that have been assigned to the user's company as well as catalogs that have not been assigned to any company.

Catalogs that have been assigned to a company are automatically assigned to the user profile of all users belonging to that company. They are displayed in grey text in the Assigned catalogs list.

If you do not want the user to automatically inherit access to catalogs that are assigned to his company, activate the check box User does not inherit catalogs assigned to his company automatically. You can now remove catalogs from the Assigned catalogs list.

Conditions

If the user is entitled (as security group purchaser) to create basic contracts, then here and under Supplier costs and discounts, you can assign to him further conditions that he can use when creating a basic contract. See also the setting option under Control center/Companies/Company/Groups tab , where you can assign another condition to all purchasers in the company.
