Managing basic contracts

A basic contract defines the general conditions under which goods are ordered and supplied and is concluded between a buyer company and a supplier company. A basic contract always applies to a specific supplier catalog. Goods can only be ordered from catalogs for which there is a valid basic contract.

Basic contracts may take one of two forms:

This contract applies to the specified purchasing company for all orders from the specified catalog. It also applies to all subsidiary companies if these have not concluded their own contract with the same supplier for the same catalog.

This contract applies to all purchasing companies (and their subsidiary companies) for all orders from the specified catalog except for purchasing companies that have concluded their own basic contracts with the supplier for the same catalog.

The first form has higher priority. The valid basic contract with the highest priority is always determined and used as a basis for orders.

In addition to the contractual regulations between the purchasing and supplying companies, such as payment terms and discounts, cancellation and complaint conditions, internal regulations of the purchasing company can also be specified in a basic contract. These include, for example, rules that specify the cost centres, cost types and projects to which the costs of orders from the catalog are booked.

In addition to standard basic contracts between purchasing and supplying companies, several other types of basic contract can be defined for special ordering processes. See Basic contract types for more information.
