Defining budgets

Budgets can be used to monitor and control company spending. Budgets can be defined for companies, users, basic contracts and control structures (credit cards, cost centre types, types of costs and projects). See Managing budgets for more information about budgets.

Budgets can only be created on the detail page of the object to which they apply (for example, in the user profile or basic contract details), but company administrators can edit and delete budgets the Budgets list.

  1. Open the object for which you want to define a budget:
  2. If necessary, activate the check box for the type of budget that you want to define. Additional fields for entering the budget are displayed.
  3. Select a Currency and enter the Start value for the budget. Alternatively, select a budget template from selection list; the budget start values specified in the template are automatically entered. See Creating and editing budget templates for information about budget templates.

    Note: You must select a budget template if the annual, monthly, weekly or daily budget is to be reset to its starting value at the end of the period. If a suitable template is not available in the Budget template selection list, activate the option Automatically create template.

  4. If some of the budget has already been used up, enter the remaining amount in the Actual value field. This value is automatically recalculated when baskets to which the budget applies are submitted.
  5. If you want to receive a message in your lobby or via E-mail when the actual value has reached a specific amount, activate the Use budget warning and enter a percentage of the budget value or an amount in currency.

    Note: The warning message is issued as soon as any of the budgets reaches the specified value or percentage.

  6. Click Save.
