Budget contracts and quotas - Contract tab

On this page, you can define budget contracts and quotas for an entire basic contract or for individual categories, product groups or products. You can also define quotas for the budget contracts. See Budget contracts and quotas list for more information on budget contracts and quotas.

Click the appropriate tab for the item for which you want to define budget contracts and quotas and then click the Add value contract or Add amount contract button.

Note: On the Contract tab, you can only add one value contract. If a value contract has already been assigned for the basic contract, the Add value contract button is no longer displayed. The Add amount contract button is only available on the Products tab.

Defining budget contracts

Enter the following information.

Note: For value contracts, the values are entered and displayed in currency. For quantity contracts, the values are entered and displayed as units (ME).

Field

Description

Name

Enter, select or search for the name of the item for which you want to define a budget contract. For example, select the name of a product group or enter the name of a product. On the Contract tab, the name of the basic contract is automatically inserted in this field.

Start value

Enter the starting value for the budget contract, that is, the maximum value that may be ordered.

Residual

If applicable, enter the current residual value for the budget contract, that is, the starting value minus the value of orders that have already been placed.

Normally, this value is automatically calculated when orders are submitted, but you can change it manually, for example, if orders are placed outside the Impact Ordering system.

Consumption

This field is automatically calculated and shows the value of orders that have already been submitted in currency (for value contracts) or units (ME, for quantity contracts).

Consumption rate

This field is automatically calculated and shows the value of orders that have already been submitted as a percentage of the start value.

Defining quotas

Quotas determine the maximum permitted order value or quantity for a specific company. A company cannot submit orders that exceed the value specified in its quota.

Note: The sum of the quotas that you enter may not exceed the total value of the budget contract.

To add quotas to a budget contract, click the icon next to the contract. New fields are displayed in which you can enter the quota details.

Enter the following information:

Description

Company

Select the name of the company for which you want to define quotas from the selection list.

Start value

Enter the starting value, that is, the maximum value that may be ordered by this company.

Residual

If applicable, enter the current residual value for the company, that is, the starting value minus the value of orders that have already been placed.

Normally, this value is automatically calculated when orders are submitted, but you can change it manually, for example, if orders are placed outside the Impact Ordering system.

Consumption

This field is automatically calculated and shows the value of orders that have already been submitted for this company in currency (for value contracts) or units (ME, for quantity contracts).

Consumption rate

This field is automatically calculated and shows the value of orders that have already been submitted for this company as a percentage of the start value.

Click this icon to delete a quota

Click this icon to update the values in the fields Consumption, Consumption rate, Sum (quotas) and Free quota.

Sum (quotas)

This field is automatically calculated and displays the sum of the start and residual values of all quotas that have been added to the budget contract. These figures may not exceed the total values of the budget contract.

Free quota

This field is automatically calculated and displays the remaining value that can still be distributed, that is, the total start and residual values of the budget contract minus the values already specified in the contract's quotas.
