Creating a quantity request

Purchasers can use a special type of template – a quantity request – to establish the immediate need for a product. Quantity requests enable purchasing companies to achieve a higher order quantity for a product and thus benefit from volume discounts. The quantity request is presented to the assigned users and they respond by entering the required amounts in a personal copy of the request and submitting this copy to the purchaser. The purchaser can then consolidate the requests into a purchase order.

  1. Select the menu item Basket.
  2. Select the menu item Quantity requests.

    The Quantity requests list is displayed.

  3. Click the New quantity request button.

    The Quantity request page is displayed.

  4. In the Name field, enter a name for the quantity request.

  5. Add products to the basket (see Adding products to a basket in the user guide Requesting and ordering products).

  6. Click the Addresses tab and select the address information for the basket (see Selecting basket addresses and Selecting basket accounting information in the user guide Requesting and ordering products).

  7. Click the Users and companies tab and assign companies or users to whom the quantity request should be sent (see Assigning companies and users to templates).
  8. Click the Scheduling tab.
    • To send the quantity request to the assigned users immediately, in the Valid from and Valid until fields, enter a validity period for the quantity request. Within this timeframe, users can respond to the quantity request. Then click the Release request button.
    • You can also schedule a regular interval at which the request should be sent to users. See Scheduling templates/quantity requests for use for more information.
  9. Click Save.

The quantity request is displayed in the Quantity requests list. The icon indicates that the request has been made available to the assigned users. The users receive a message in their lobby and can reply to the quantity request.
