Checking accounting information

If control structures like cost centers and projects are used for accounting, users have to select the corresponding control structure in the basket before they can send a request. Users with the authorization set Account assignment verifier can check and change the assignment of a control structure.

The process of checking accounting information is managed by approval rules, that are created by the company administrator. These rules define when and by whom the accounting information of a request must be checked.

If you have been assigned as a Account assignment verifier to an approval rule and requisitions and purchase requests are awaiting accounting checks, you will receive a corresponding message in your lobby. You can click on this message to view and to check the request. If you have indicated an E-mail address in your profile and selected the according settings in the lobby, you will also receive an E-mail.

You can also view and check a list of all items awaiting accounting checks.

  1. Select the menu item Workspace.
  2. Click the link Accounting.

    The Accouting page is displayed.

  3. Click the icon next to the item you want to view or approve.

    The Accounting check page opens.

  4. Click the Disposition tab.
  5. Click the icon next to the item to view the accounting information.
  6. If necessary, change the accounting information and click Save.

    The accounting list is displayed again.

  7. Click the icon next to a request to see the position.
  8. Click the icon to mark a position as seen.

    When you have marked all positions as seen, the request is displayed in the Requests finished tab.
